This Health and Safety Policy sets out our approach to managing risks associated with cleaning activities in homes, offices and commercial premises.

Management Responsibilities

Senior management has overall responsibility for ensuring that appropriate arrangements, resources and systems are in place to maintain high standards of health and safety. Management will regularly review this policy, update it when necessary and make sure it is communicated to all employees and contractors working on behalf of Elephant and Castle Carpet Cleaners.

Managers and supervisors must lead by example, follow all agreed procedures and encourage a positive safety culture. They are responsible for implementing risk assessments, providing suitable equipment and ensuring that staff are trained and competent for the tasks they undertake.

Employee Responsibilities

Every employee has a duty to take reasonable care of their own health and safety and that of others affected by their actions at work. All employees must:

Follow the instructions, training and safe systems of work provided by the company.

Use equipment, machinery and cleaning chemicals in accordance with manufacturer guidance and company procedures.

Report any accidents, incidents, near misses, hazards or unsafe conditions to their supervisor without delay.

Wear the personal protective equipment provided, keep it in good condition and store it correctly.

Cooperate with management to enable the company to meet its health and safety obligations.

Risk Assessment and Safe Working Practices

Elephant and Castle Carpet Cleaners will assess the risks associated with cleaning services, including but not limited to manual handling, use of machinery, handling of cleaning chemicals, slips, trips and falls, electrical safety, lone working and working in occupied premises. These risk assessments will be reviewed regularly and whenever circumstances change.

For each type of work undertaken, we will develop safe systems of work and method statements as required. Staff must follow these procedures at all times, adapting them only where authorised to respond to specific site conditions. Before starting any job, operatives should familiarise themselves with the layout of the premises, identify escape routes and emergency contact arrangements and note any site-specific hazards.

Use of Cleaning Chemicals

Cleaning solutions, stain removers and other substances will be selected, stored, transported and used in accordance with the relevant safety data information. We will minimise exposure to potentially harmful substances by choosing low hazard products where possible and by using the smallest effective quantities.

Employees handling chemicals must receive instruction on correct dilution, application and disposal procedures. Protective gloves, eye protection and other appropriate personal protective equipment will be provided where necessary. Chemicals will never be decanted into unlabelled containers, and will be stored securely when not in use to prevent unauthorised access, particularly by children or vulnerable individuals at customer premises.

Equipment and Electrical Safety

All machinery, including carpet cleaning machines, vacuum cleaners and portable extraction units, will be maintained in safe working order. Regular inspections and servicing will be carried out and records retained. Damaged or faulty equipment must be taken out of use immediately and reported to management.

Electrical safety is of particular importance when using powered cleaning equipment in homes and workplaces. Staff must visually check plugs, cables and sockets before use, avoid overloading sockets and keep cables away from water and trip hazards. Equipment will only be used in line with the manufacturer instructions and any site-specific rules.

Manual Handling and Ergonomics

Carpet cleaning often involves lifting and moving machinery, hoses, containers and furniture. Poor manual handling techniques can lead to injury. Elephant and Castle Carpet Cleaners will provide training on safe lifting, carrying and pushing techniques, including the use of handling aids where practicable.

Employees must always plan a route before moving heavy items, ask for assistance when needed and avoid awkward or sudden movements. Where possible, equipment will be transported using wheels, trolleys or vehicles to reduce strain and protect staff from musculoskeletal injuries.

Slips, Trips and Falls

Cleaning operations can create temporary hazards such as wet or damp floors, trailing hoses and cables and moved furniture. To reduce the risk of slips, trips and falls, our staff will maintain good housekeeping during and after each job. This includes positioning hoses to minimise obstruction, using warning signs where appropriate, and promptly wiping up spills.

Walkways and escape routes must never be blocked by equipment or cleaning materials. At the end of each job, all items will be returned to safe locations, and the work area will be checked for any remaining hazards.

Lone Working and Work at Clients Premises

Many cleaning tasks are carried out at customers premises and sometimes by lone workers. We will assess the risks associated with lone working and put in place appropriate control measures, such as regular communication with supervisors, agreed check-in procedures and clear guidance on what to do in case of an emergency or if staff feel unsafe.

When working at client sites, employees must respect house rules, security requirements and any specific safety instructions provided by the customer. Staff must also be mindful of the presence of residents, employees, visitors, pets and members of the public.

Training, Information and Supervision

Elephant and Castle Carpet Cleaners will provide suitable and sufficient health and safety training for all employees, including induction training for new starters and task-specific training for particular equipment or processes. Refresher training will be provided when necessary, especially when new techniques, chemicals or machinery are introduced.

Information on hazards and safe working methods will be communicated clearly and in a way that all staff can understand. Supervisors will monitor compliance with this policy and provide guidance, coaching and additional supervision where required.

Accidents, Incidents and Emergency Procedures
